To complete our Swiss Workplace Solutions department, we are currently looking for a Swiss Travel Visa Coordinator. In this role you will run the in-house Visa Service Desk, including VIP Visas. Act as the customer-facing contact for visa requests, ensuring the process is well understood, proper information/documents are provided first time right, visas are delivered in time. Identify and execute process improvements. Ensure compliance with consulates best practices as well as Data Privacy guidelines.
Key responsibilities • Provision of visas to travelers including VIP employees • Provide application forms and information regarding requirements/procedures to be followed • Assist in processing and obtaining visa forms from embassies/consulates & follow up on pending applications • Coordinate with local staff in the markets to obtain letters of invitation • Respond to telephonic, written and in-person inquiries • Organize payments for consulates/embassies • Update reporting for KPIs, SLAs and cash advances • Issue monthly report for costs to recharge and prepare internal invoices • Publish satisfaction survey, analyses results and build action plan • Introduce the Visa Service during information sessions for new comers • Act as back up for courier daily travel to embassies Required profile • CFC or equivalent, experience as a travel agent would be considered a plus • Experience in administrative work or in service-oriented position involving customer service and contact • Knowledge of administrative practices and procedures • Proficiency in use of Microsoft Office Programs (Word, Excel, PowerPoint, Windows Outlook) • Driving license is mandatory for this role • Fluent in English spoken and written • Knowledge in German is considered an asset Show us that you have an accurate, cooperative and service oriented mindset.
